When the reminder settings are configured from the Administration section, you can start submitting reminders to the patients for their booked appointments. These submitted reminders will be transmitted to the patient’s phone/email on the configured date and time.
To submit the reminders prior to the booked appointments:
1. | From the top menu bar, click Scheduler. The Schedule Appointment screen opens up. The Appointment Reminder icon ![]() |
2. | Click the Appointment Reminder ![]() |
Note: In the practical scenario, you will need future appointments to setup an appointment reminder. It means that, prior to clicking the Appointment Reminder icon; you will have to change the date from the Schedule Appointment screen.
3. | In the Visit Profile field, select the visit profile from the drop-down list to view the appointments for a particular visit profile. |
4. | In the Scheduler field, do one of the following: |
• | To view the appointments of a particular provider, select provider name from the list. |
• | To view the appointments of all the providers, select All. |
5. | In the Visit Status Filter field, do the following: |
• | To setup the reminder for pending visits, select the Pending check box. |
• | To setup the reminder for confirmed visits, select the Confirm check box. |
• | To setup the reminder for both; select both the check boxes. |
6. | The Phone Reminder Start Date & Time field will display the date & time according to the configuration you have done earlier. This is the date and time of transmitting reminders to the patients once submitted. |
7. | The Email Reminder Start Date & Time field will display the date & time according to the configuration you have done earlier. This is the date and time of transmitting reminders to the patients once submitted. |
8. | The Text Reminder Start Date & Time field will display the date & time according to the configuration you have done earlier. This is the date and time of transmitting reminders to the patients once submitted. |
9. | You can also resend the reminder to the patients. To view the patient visits for which a reminder is already sent earlier, select the “Include visits for which reminder is already sent” check box. |
10. | The patients’ list is displayed along with the visit statuses. Select the type of reminders to be sent to the patients. |
11. | Click Submit. |
12. | Click the Get Status button on the top right corner to view the status of appointments for which appointment reminders are already sent and response is received from patients. The status is displayed only for current and future appointments. |
